POSITION:  
Client Technologies - Customer Service Associate

This is a full time Part-Time Position. Flexible days / flexible hours. Immediate start. This is an opportunity to work for an Incentive Industry leader within a professional office environment in Brimfield, MA.

REPORTS TO: Client Technologies Programs Manager

OBJECTIVE: Utilizing World Incentives, Inc.’s proprietary online award site and information portals, the selected candidate will provide support to Client program participants and perform necessary updates to Client Award Websites.

RESPONSIBLE FOR:

  • Friendly, proactive problem resolution or technical and/or order nature
  • Phone and email contact with award recipients and corporate decision makers
  • The standard solution contains the highest degree of client branding & customization 
  • Resolve and monitor customer service and fulfillment issues
  • Run daily Order placement & order status updates and order issue problem solving
  • Communication with Vendors to resolve customer issues
  • Various responsibilities as assigned by management

REQUIRED SKILLS AND QUALIFICATIONS:

 Ability to manage multiple issues simultaneously

 Intermediate level skills in Microsoft Word
 Intermediate level skills in Microsoft Excel
 Experience with FTP / HTML/ Graphics a PLUS
 Excellent written and verbal communications skills are required for interacting with customers and senior management
 Legal authorization to work in the US on a full-time basis for anyone other than your current employer

 JOB DESCRIPTION

POSITION:  
Travel Operations Specialist  (Part Time/Growth Position)

REPORTS TO: 
Director of Travel Operations

OBJECTIVE: 
The successful candidate will manage travel award reservations for our clients' travel-award winners, as well as will assist in the creation of new travel products.  The selected candidate will also assist in the uploading of data to, and testing of our online proprietary award application, which is used by our award winners to redeem for said travel.  The candidate will ultimately learn and be responsible for the administration of small to medium Group Incentive Travel Award Programs.  Travel Experience of any sort is a Major Plus for consideration of this position, but is not a requirement.

 RESPONSIBLE FOR:

 Individual Incentive Travel Operations – Q1

  • Extensive phone contact with award Recipients

  • Extensive phone contact with Travel Suppliers

  • Create, and cost customized travel and specialty awards based on client needs

  • Make hotel and cruise bookings for travel award recipients

  • Make hotel and cruise payments and place certificate orders

  • Packaging and mailing of travel award documentation to award recipient

  • Manage travel budgets & reports as part of the travel award fulfillment process

  • Track redemption production

  • Closeout and reconcile accounting for individual redemptions

 Group Incentive Travel Operations – Q2

  • Manage day-to-day program administration

  • Monitor and maintain supplier contracts related to attrition and cancellation

  • Coordinate program logistics with hotel and land program transportation and activities suppliers

  • Management of rooming lists  (including deviations)

  • Coordinate and manage online registration process

  • Prepare travel and logistical information for attendees

  • Coordinate design, content and printing of attendee program itinerary booklet

  • Coordinate attendee pre-trip and on-site correspondence

  • Coordinate ticketing and travel document mailing

  • Prepare airport arrival/departure information

  • Organize VIP special events and transportation

  • Select gifts, amenities and promotional items

  • Make supplier payments

  • Reconcile vendor invoices

  • Post-program account reconciliation and re-bill

 Product Development – Q3 and 4

  • Assist in the development of new travel and specialty award products

  • Annual cost revisions to travel and specialty award pricing

  • Accuracy of travel and specialty award product descriptions and disclaimer

  • Build product descriptions in online certificate generator certificate templates

  • Interface and coordinate travel product with technology department

  • Reviewing vendor contracts and edit to comply with corporate vendor policy guidelines

  • Writing and reviewing for publication travel award terms and conditions.

  • Track and Report to Management supplier contracting deadlines

  • Reviewing vendor contracts and edit to comply with corporate vendor policy guidelines

  • Assist with group travel costings and proposals when needed

  • Various administrative responsibilities as requested by management

Required Skills and Qualifications:

To be considered for the role of Operations Specialist, applicants must possess required knowledge, skills, abilities and experience and be able to explain and demonstrate:

  • Intermediate level skills in Microsoft Word (emphasis working with tables)

  • Intermediate level skills in Microsoft Excel (emphasis working with formulas, graphs and tables)

  • Intermediate level skills in Microsoft PowerPoint

  • Strong written and verbal communications skills are required for interacting with customers and senior management

  • Ability to manage multiple projects simultaneously

  • Positive/energetic attitude

  • Legal authorization to work in the US on a full-time basis for anyone other than your current employer

 

Preferred Qualifications:

In addition to the required qualifications the successful candidate is likely to be able to demonstrate at least one of the following:

  • 2 years minimum experience (product or service sales, promotional products, incentive/recognition, travel operations/reservations, direct marketing, customer service, help desk)
     

  • Travel Agency Experience a plus towards consideration but not a requirement. (Sometimes, Desire and Talent overcomes lack of experience!)
